Encourage exhibitor success by defining custom tasks to complete before the event. Assigned tasks can include completing in-system forms and following links to external sites or other site pages within your Portal. Additionally, tasks can only be displayed on the Exhibitor Hub page or the Exhibitor Online Profile via the Organizations > Tasks block.
To begin creating or editing tasks, navigate to Admin Panel > Site Building Tools > Organizations Manager > Tasks.
The Task Definitions for all Organizations table displays eight columns. Admins can modify the order in which tasks are shown on the front end by, clicking, holding, and dragging the first column (kebab icon) for any existing tasks.
Additional columns in this table include:
- Id - a unique value used to target the individual task
- Task - the task name
- Due Date - the date by which the exhibitor must complete the task
- Type - either a Link to an external resource or an in-system form
- Data - either the URL to the external resource if the Link type is selected or the name of the form the task is linked to if the form type is selected.
- Who can complete the task? - the organization's Owner, any of the organization's Members or Admin only.

- Edit - edit or review the details of the listed task.
- Remove - remove the listed task
Click Create New Task Definition to add a new task.
Create/Edit a Task
The New Task Definition form allows you to create and configure new custom tasks.
Configurable task fields include:
• Title - The name of the task you're creating.
• Description - Additional descriptive details about the task and why it was assigned.
• Due Date - The date and time by which the task must be completed.
Note: Defining a Due Date does not remove the task from exhibitor view after the date has passed, additionally, the system does not automatically send a reminder prior to a specified date.
Note: You are required to populate the time field when creating a Due Date. If you do not have a specified time, enter 11:59 PM to allow the full day.
• Task Type - There are two primary task types: Link and form Submission.
- Link - display a URL directing exhibitors to a page or site to complete the task.
- Form submission - Collect information from exhibitors by completing a form.
Manage your review item category forms by navigating to Site Building Tools > Forms Manager > Categories.
• Hyperlink - The external URL associated with a Link task type.
• Who can complete the task? - Define users who have permission to complete the task:
- All members - Any user listed with the organization can complete the task.
- Owner - Limited to being marked completed only by the Owner of the organization.
- Admins Only - Limited to being marked completed only after review by a Site Admin.
Who can access the task? - Specify organizations who are assigned to complete the task:
- All - Display for both organizations assigned to a booth exhibiting at the show and companies with access to their online profile prior to booth assignment.
- Exhibitors Only - Limited to display only for organizations assigned to a booth exhibiting at the show.
- Companies Only - Limited to display only for companies with access to the online profile prior to booth assignment.
After configuring task fields, remember to click the Save button to save changes before leaving the page. Once set up and saved, all tasks automatically appear on the Tasks block when added to the Exhibitor Hub page or the Exhibitor Online Profile.
