Manage Folder
At the top of the screen you will find the Manage Folder box. Here you can browse folders, subfolders, and see the list of files that have already been uploaded*.
1. Folder
These are the main locations that files can be uploaded* to:
- PUBLIC/CUSTOM – All files that need to be available to the Public Site, or to Attendees/Exhibitors should be placed in this folder or one of it’s subfolders. Example – Sponsor Logos, Floorplan Logos, Exhibitor Space Regulations.
- APP_THEMES – This folder contains Public Site files that are only available to Designers. These files are to ONLY be changed by users who have been trained by a2z staff.
- ADMIN/CUSTOM – The functionality for this folder is deprecated.
2. SubFolders
Click on the + next to Folders and SubFolders to expand them. Use SubFolders to organize your files so that when you are adding the files to Templates, Session Descriptions, and Content pages you can find them quickly and easily.
3. File List
The File List window will show you what files are in the Folder or SubFolder you have selected from the left hand menu. You will see the file name, and the date it was uploaded*. You will also be able to download a copy of the file from here.
Upload Box
4. Locations
Choose the Upload Site and the Upload Path that match the folder locations (#1 above) that you would like to upload your files. The system default is Public/Custom – this is where most files will be stored. Then choose the appropriate SubFolder from the dropdown.
5. Create a new subfolder
When organizing your files, you may need to create a new subfolder. This is done by clicking into the text box and typing in the name of the folder that you want to create. If you would like this to be a Subfolder of another Folder, select that from the center drop down box first. Example: Creating the SponsorLogo folder inside the Image Folder.
6. Multi-file upload
You can upload* multiple files by clicking Select and choosing a file on your Local Computer, or Network, and then repeating this for each file that you would like to upload.
6.1 How to add or delete Select File boxes
There are 5 Select File boxes by default. To add more boxes click the Add Button, to remove rows click delete. To delete a specific row, click the xRemove next to that row.
How to find the URL for Images and Documents
Now that you have uploaded some images and/or documents, you may want to hyperlink to them in a Content Page, or a Template. To create this hyperlink, go the folder that has the image/document that you want. Then Copy the Folder URL at the top. To create the link to the file, append the URL with /name-of-file.ext (slash, full name of file including the extension). In this example I would now have https://s23.a2zinc.net/clients/apasalesmaster/apanational/CUSTOM/A2Z-Events_OnePager_web.pdf as my URL, which I can use with the Hyperlink Manager in Content Management, Template Management, and Session Description, and logo URLs for exhibitor logos uploaded via GlobalAdmin.
*Files uploaded cannot be deleted. To replace a file that is uploaded with a different version, name the new file with the same name as the file previously uploaded and upload the new file to the same folder.
