Step 1: Click Event Settings at the bottom of the left toolbar.
Step 2: Scroll to the bottom of the page and select Template Management.
Step 3: Click on the Template you would like to Edit.
Step 4: Change the Subject Line and Review the available Merge Fields for this template. Each template has its own set of Merge Fields.
Step 5: Use the WYSIWYG tool to add images, links, and important content to the email. You can also click Source to view the HTML to edit the email. For more info
Step 6: Add Merge Fields using the Drop down. Each template has its own list of Merge Fields.
Step 7: Review the Contact Types to be sure you are sending the email to the correct person. The To Hierarchy will send to the first contact in the drop down, if that contact does not exist for that company it will send to the next email address and so on. The same applies for the CC: Hierarchy. For more info about Contact Types and how to add them, Click Here.
Testing your Email
(Please note that your email address will not be listed on the second confirmation page before sending the test. You are sending a test to yourself as if you were the person you select, so you will see their email address, the greeting will have their name, and it will look exactly the way it would look to them, but it will go to the address specified on the previous screen)
Step 8: Once you are happy with your email template it is time to Test! Click Reports on the top toolbar.
NOTE: any report that issues upon success of an action on the Public Site, such as online contract success or sponsorship sales success letters, must be tested by logging in on the public site and completing the action, such as submitting a test contract.
Step 9: Scroll to the bottom to Printing & Email, then click the email you would like to test.
Step 10: Under Email Type select Test to send yourself an email. (When you are ready to send out a batch email you would leave this as Live.) Type in your email under Test Email. Hit Go at the bottom.
Step 11: If you are in Test mode, click the check box in the top left corner twice. This will unmark all of the emails and then you can select just one to send to yourself. If you are in Live mode, review the list and make sure the list of recipients is correct. This will send a copy of that exhibitor's email to the email you provided on the first page.
Troubleshooting
If the From address for your emails is unexpected, please verify the contents of message #3573 for Event Manager and message #3479 for Conference-specific emails
