Intro
This article details best practices and recommendations for communicating and socializing the event portal with your exhibitors, attendees, and end users.
Draw Connections
Help your site visitors understand the value of accessing your portal, and encourage them to take action towards building their online booth profile or completing tasks. Share important information and draw connections by illustrating the importance of your portal to your end users.
Three easy ways to achieve this goal are:
1. Including Instructions within the Exhibitor Confirmation Letter
2. Designing an Exhibitor Communication Newsletter
3. Creating a Dedicated Information Page on your Event Site
Include Instructions in the Exhibitor Confirmation Letter
Leverage template 30 in Global Admin to design an explanatory exhibitor confirmation letter informing them about the importance of the portal at the time their booth is secured.
Help your exhibitors feel confident with their new exhibitor hub experience by coaching them on the benefits of accessing the portal. Include event portal-specific info such as:
-
- Steps to complete first-time login
- A list of time-sensitive action items (e.g., complete assigned tasks and forms)
- Update product categories and EDC Listings (*if offered at your show)

Design an Exhibitor Communication Newsletter
Assist your exhibitors to plan and prepare for the show as the go-live date approaches by designing and communicating an educational exhibitor communication newsletter via Global Admin's template 89.
Consider crafting your newsletter with the following objectives in mind:
- Push exhibitors to log in, get started, and maximize their ROI for participating in the show by showcasing a list of incentives to access the Hub Page.
- Supply links to the portal that allow exhibitors to submit required forms (e.g., insurance certification, order booth supplies, etc.)
- Generate site traffic, encourage and drive exhibitors to check back often for important news such as Exhibitor Housing and booking details or booth staff registration announcements

Create a Dedicated Information Page
Host a resource and information guide on your event site for exhibitors to gain insight into the plethora of offerings located in your portal.
Showcase details such as:
- Comprehensive guides that review steps to log in and manage the online booth booth profile.
- Reminders to log in to locate Client Service contact information, exhibitor service kits, and more.
- Reassurance that promotes the new dynamic one-stop-shop experience offered by the portal.
Alternatively, you can create a custom public page in your Portal and distribute a link to your exhibitors for even easier access.
