The cancellation schedule is used when booths are vacated or declined in floorplan management. Vacate and Decline features will not be activated if a Cancellation Schedule has not been entered.
The fee in the cancellation schedule is the amount that is kept by show management.
Click Financial on the left toolbar.
Click Settings in the top right corner and select Cancellation Schedule.
Cancellation fees can be set as a percentage or a flat rate. A cancellation schedule must be set up before booths are reserved or assigned, even if there is no penalty for cancelling a booth.
Cancellation Mode – This tells the system to read the fee amounts as either a Percentage of the total booth cost or as a Flat Rate amount
Sr. No. – The unique identifier for this schedule item in the database.
Fee – This is the amount assessed in the booth cancellation order that is created at the time the booth is vacated or declined. If the mode is set to Percentage, then the system will use this number as a percentage and multiply it against the total booth cost. If the mode is set to Flat Rate then the system will use this as the amount for the booth cancellation order.
Cancellation Date – the date through which this schedule item is used. After this date the schedule will move to the next row in the schedule, until it gets to the last row.
Set Up a Cancellation Schedule
Percentage
1. Click on the Percentage radio button.
2. Enter the percentage amount (even if the amount is 0), this is the percentage of the total booth cost that is charged to the exhibitor.
3. Click on the calendar icon to select the cancellation date.
4. Repeat steps 2&3 for every cancellation period for the event.
5. Click on Update.
Flat Rate
1. Click on the Flat Rate radio button.
2. Enter the dollar amount that is due for that cancellation period even if the amount is $0.
3. Click on the calendar icon to select the cancellation date.
4. Repeat steps 2&3 for every cancellation period for the event.
5. Click on Update.
