This report is configurable; users can create personalized reports from the available fields. These fields are available on the payment tab of the company record. Payments are event specific.
This Report can also be accessed through the Financials tab on the left toolbar.
To Pull the Report
Logged in users with access to the financial reports will find the exhibitor payment report in the Reports, Financials menu. Once the user has selected the report, they can:
- Choose the “Display” fields from the drop down menus.
- Use the “Search by” fields to narrow the results.
- Sort by up to three levels of criteria.
- Choose the preferred output format.
- Choose the preferred display option for System Transfer.
- Display Field Options:
- Co Id – Required. This is the unique identifier for the company.
- Payment ID- Required. This is the unique identifier for the payment in the system.
- Company Name – Selected by default. The name of the company as designated on the company info tab of the company record.
- Invoice No – The number of the invoice this payment is applied to, as it appears on the invoice.
- Amount – The amount paid.
- Company Number – This is the number for the company as designated on the company info tab of the company record. This may be used to match up the company record with another system (CMS, AMS, or Financial).
- Event Name – The name of the event with which the payment is associated.
- Operator Alias – The login id of the user that added the payment.
- Payment Details – The text (if any) that was entered in to the payment details field when the payment was created.
- Payment Date – Date the payment was entered.
- Tracking No – The tracking number that was entered at the time of payment, if this is an online credit card the tracking number was received from the payment card processor (ex. Payflowpro).
- Mode – Method of payment (ex. Online Credit Card, Check, Refund, etc).
- Card Number – If payment mode online credit was used, the last four digits of the credit card will be shown in this field.
- Card Type – If payment mode online credit card was used, the type of credit card will be shown in this field (ex. Visa, Mastercard, etc).
- OperatorFullName – If a full name is associated with the operator login id it, it will show in this field.
- Amount – the amount in the payment.
- Date Type – Select a type, and start/end dates narrow the results to a select period of time.
- Payment Date – Date the payment was entered.
- Modified Date – The date of the last time the payment was modified. Online credit card and system transfer payments cannot be modified.
- Company Name – Enter all or part of a company name to narrow results to only those companies that contain the keyword(s).
- Tracking Number – enter a tracking number to narrow the results to only those payments that have this in the tracking number field.
- Operator – The list of all users in the system. Select one to see only payments they have entered (if any).
- Event – Narrow the results to only those payments associated with the selected event, or select ‘—All—‘and see payments for all events using financials.
- Payment Method – Select one from available payment methods to narrow the results to only one type.
- Amount Type – Select a type, along with <,>,=, <=, or >= to narrow the search results.
- HTML – view the data in the browser window.
- Excel – Creates an Excel document, which can be saved or opened to view.
- ASCII – Opens the data in a text file, to be viewed or saved.
- PDF – Save or view the data as a PDF file.
- XML – opens the data as an XML file.
